Invite users

RehabAlpha is still under active development. It is not yet HIPAA compliant and should only be used with dummy data.

Invite a therapist, physician, or associate to sign in to your RehabAlpha organization. You can send an invitation when you create the member or after reviewing their details and permissions.

Before you start​

  • You need Owner or Admin access to the organization to send or revoke invitations. Only an Owner can manage invitations for a member with Owner access.
  • Have the email address the recipient will use to sign in. They must verify that same address before accepting the invitation.

Understand members and user access​

A member record stores a therapist's, physician's, or associate's details. Accepting an invitation links that member to a user account so the person can sign in to the organization. Patients cannot be users and cannot be invited.

The member's Role describes their clinical or operational role. Their permissions, including Access level and facility profiles, control what they can access. New members start with Custom access and no facility assignments. To configure permissions before the user joins, leave Invite user off when creating the member and use the invite later workflow.

Create and invite a member​

  1. Open People, then select All staff.
  2. Click New member.
  3. Select Therapist, Physician, or Associate for Role.
  4. Enter the member's First name and Last name, and complete their other details as needed.
  5. Turn on Invite user.
  6. Confirm Email invitation to. It initially copies the member's Email, if entered; you can use a different invitation address.
  7. Click Save.

RehabAlpha creates the member record and sends an invitation email. The user receives the permissions configured for that member when they accept.

Invite a member after creating them​

Use this workflow for a member created without an invitation, including an imported member or a previously unlinked user.

  1. Open People, then select All staff.
  2. Select the member.
  3. Open Settings.
  4. Review Permissions, make any needed changes, and click Save.
  5. Under User, click Invite user.
  6. Confirm Email invitation to, then click Send invitation.

If you see an invitation status instead of Invite user, follow the steps below to send a new invitation.

Send a new invitation​

  1. Open the member's Settings.
  2. Under User, open Invitation pending, Invitation expired, or Invitation rejected.
  3. Select Send new invitation.
  4. Confirm or correct Email invitation to, then click Send invitation.

You can send a new invitation immediately. Sending a new invitation revokes the previous pending invitation, so ask the recipient to use the newest email.

Revoke an invitation​

  1. Open the member's Settings.
  2. Under User, open Invitation pending.
  3. Select Revoke invitation.

Revocation takes effect immediately, without a confirmation dialog. The revoked invitation cannot be accepted. To invite the member again, click Invite user.

Accept an invitation​

The recipient completes these steps:

  1. Open the invitation email.
  2. Follow the link to accept the invitation.
  3. Create an account or sign in using the email address that received the invitation.
  4. Complete account setup, including email verification and two-factor authentication, if needed.
  5. When RehabAlpha returns to the invitation, wait for acceptance to finish. If the invitation page offers Accept, click it.

After acceptance, RehabAlpha opens the organization's workspace. Recipients can also open My account, find Invitations, and click Accept or Reject for a pending invitation.

Frequently asked questions​

Why can't the recipient accept the invitation?​

Check that they are signed in with the verified email address that received it. If they are signed in to a different account, have them sign out and reopen the invitation link.

Expired, rejected, or revoked invitations cannot be accepted; send a new invitation. A user account also cannot link to two members in the same organization.

Does a suspended user need a new invitation?​

If the user is still linked to the member, click Reactivate access under Settings → User. A new invitation is not needed.

If the user was unlinked, invite them again. If their access is also suspended, reactivate it before sending the invitation.
