Get started with PointClickCare

warning

RehabAlpha is still under active development. It is not yet HIPAA compliant and should only be used with dummy data.

The PointClickCare (PCC) integration brings supported patient and facility information into RehabAlpha and lets you send supported therapy documentation and minutes back to PCC. Each direction has its own workflow.

What you want to doWhere to start
Bring PCC patient details, conditions, admissions, physicians, and payors into RehabAlphaSync data from PointClickCare to RehabAlpha
Send supported therapy documentation and actual minutes to PCCSync data from RehabAlpha to PointClickCare
Prepare therapy charges for import into PCCPrepare and export PointClickCare files

Billing exports use a downloaded file and have their own setup. They do not require a PCC connection.

Before you start

  • Create your facility in RehabAlpha.
  • Contact RehabAlpha support to arrange the connection. Have your PCC administrator coordinate the required customer authorization and activation with RehabAlpha and PointClickCare.
  • A RehabAlpha Platform admin must assign and activate a PCC connection for the facility before you can enable it.
  • To change facility integration settings, you need permission to update the facility. Owners and Admins have this permission. Facility managers without it can view the saved settings.
  • Owners, Admins, and facility managers can run refreshes and send supported clinical information to PCC once the required connections and patient links are active.

Enable the facility connection

  1. Open Facilities, select the facility, and open Settings → Integration settings.
  2. Find the PointClickCare connection. Check its external organization and facility IDs with your PCC administrator to confirm that it is the intended source.
  3. Turn on Enable for your organization.
  4. Turn on Primary connection. Only one connection can be primary; RehabAlpha uses it for refreshes and patient lookups.
  5. Under Combine returning inpatient stays?, choose Don't combine, Same day, or Within 3 days. This controls how eligible, previously unlinked PCC inpatient stays are grouped into RehabAlpha admissions. The gap is counted in calendar days in the facility's time zone. Existing linked admission groupings stay the same.
  6. Select Save.

If no connection is listed, or you cannot enable it because it has not been activated, contact RehabAlpha support. Saving these settings does not start a refresh.

A patient link identifies which PCC patient belongs to a RehabAlpha patient. The patient's primary link must match the facility's primary PCC organization and facility for syncing to use it.

If you already created a patient in RehabAlpha, review and link that record before refreshing. You need permission to edit patients in the facility.

  1. Open the patient's Settings → Integration settings.
  2. Select Add link, then open PCC patient to load the patient list from the facility's primary connection.
  3. Wait for the list to finish loading. Search by name, birth date, resident ID, or medical record number, and compare the available details before selecting the patient.
  4. Turn on Make primary? for the link you want to use. The first link is primary by default.
  5. Turn on Turn on integration, then select Save.

Saving a link does not import patient information. Continue with a patient or facility refresh. A facility refresh can also create eligible PCC patients that are not already linked; review the results before adding duplicate records manually.

Each PCC patient can be linked to only one RehabAlpha patient within your organization, including inactive and historical links. For changing or removing links, see Manage patient records.

You should know

  • Refresh retrieves information from PCC. Send to PCC sends supported clinical information in the other direction. Saving settings or editing a patient does not perform both actions.
  • Automatic updates from PCC require separate configuration. Ask RehabAlpha support whether they are configured for your facility.
  • Turning off Enable for your organization pauses use of that facility connection and keeps saved links and imported information. Turning off a patient's Turn on integration keeps that patient's links and primary selection.
  • Changing a facility's primary connection does not replace existing patient links. Review each patient's primary link before syncing from a different source.
