Set up a facility invoice

A facility invoice summarizes the therapy services for one facility during a selected date range. The invoice calculates the financial obligation of the facility to reimburse your therapy company during that time period according to rules specified in the facility contract(s).

Who needs facility invoices?

Use facility invoices if your organization provides therapy services on behalf of a facility and the facility pays your organization. If your organization provides therapy directly—for example, an in-house skilled nursing facility or a typical outpatient clinic—you do not need facility invoices.

Before you start

You need admin access, a facility, and the date range you want to invoice. Set up the facility's billing providers, payors, reimbursement arrangements, and contracts as needed before creating the invoice so RehabAlpha can calculate the applicable line items.

Create a facility invoice

  1. Open Facilities and select the facility.
  2. Click Invoices.
  3. Click New invoice.
  4. In Basic details, enter the Start date and End date. RehabAlpha creates a default Name from the date range; change it if needed.
  5. Review Service items, including the facility, service location, place of service, patient, payor, billing provider, service date, discipline, clinical document, therapist, CPT code, and minutes.
  6. Review Reimbursement. Expand the contract, payment term, payor, service date, and patient to see the inputs, steps, and amounts used for the payor and facility calculations.
  7. Compare the patient-date totals in Reimbursement summary and resolve any blocking warnings.
  8. Click Save.

The new invoice opens in Draft status. You can edit a draft invoice while you review it.

Review and deliver an invoice

  1. Open the invoice from the facility's Invoices list.
  2. Review the Summary, Warnings, Service items, Reimbursement, and Reimbursement summary.
  3. Select Refresh when you need to compare the invoice with current source data.
  4. When the invoice is ready, select Send to email it or Sent to record a manual delivery.
  5. Select PDF to download a copy.

Delivery or recording a payment locks the invoice. Correct blocking warnings or add adjustments before delivery or payment can proceed.

You should know

  • The invoice list shows the invoice status, period, total, and number of line items.
  • Review date-range warnings carefully. An invoice can overlap an existing invoice period or leave a gap after a prior invoice.
  • Changes to source data can require a refreshed review of the invoice.
